Privacy policy

This policy explains what data the Sayply service collects, why and for how long it is kept. Data questions go to support@sayply.com.
What we process
- Account data — email address and, for Google sign-in, the Google identifier. Passwords are stored only as a cryptographic hash.
- Conversation content — speech goes through recognition, and the resulting text through processing for cues and summaries. The result is stored in the application on your own computer; we do not keep transcripts, summaries or tasks on our servers.
- Usage data — session length in minutes, request timestamps, technical error logs. They are needed for metering and diagnostics.
- Payment data — amounts, dates and statuses. Card details are handled by the payment provider; we never receive or store them.
What happens to audio
Audio is not stored. Sound is streamed for recognition and never written to files, neither on your computer nor on our servers. Only the text result is kept.
Where data is stored
Our servers are in the European Union (Germany): that is where account data, minute metering and payment records are stored. Backups are kept in the same region.
Processing, however, is not limited to the EU: to recognise speech and produce a summary the text is passed to processing partners, some of which may operate outside the European Union. Their categories are listed below; each of them processes the text only to fulfil the request.
The transcript and the summary of a call stay in the local database of the application on your computer — we do not receive a copy of them and do not keep them.
Who else processes the data
To deliver the service we use subprocessors of these categories: a cloud infrastructure provider in the EU, speech recognition and text processing services, an email service for system messages, and a PCI DSS compliant payment provider. Each of them processes only what its function requires and is bound by confidentiality obligations. The named list of subprocessors is provided on request via support@sayply.com.
Retention
Account data is kept for as long as the account exists. Usage and payment records are kept for as long as accounting and tax reporting require. Technical logs are kept for up to 30 days.
Transcripts, summaries, tasks and PDF reports have no retention period on our side: they live on your computer, and you delete them whenever you see fit.
Your rights
For the data kept on our servers — account, minute metering, payment records — you can obtain a copy, correct it, restrict processing, or delete the account: the procedure is on the account deletion page. Send the request by email to support@sayply.com from the address of your account; we fulfil it within 30 days.
Conversation content is under your direct control: transcripts and summaries are stored locally, so deleting them needs neither a request to us nor our consent.
Your responsibility as a user
A call has two sides. If the law applicable to you requires informing the other party about speech processing, do it before starting a session. We cannot do it for you.
